Gemini's New Business Hub: A Risk-Based Guide for Small Business Owners

Google's Gemini app now has a home page for small businesses. What it does, what Google keeps, and what to check before you connect your accounts.

By Dominic Frei14 min read

Gemini's new business hub is a landing page inside the Gemini app, announced by Google on October 20, 2026, that brings brand visuals, financial analysis and customer insights together and connects Gemini to your Google Business Profile, Google Ads, Workspace and apps like Shopify and Xero. It's free for every Gemini app user and rolling out worldwide. It's worth a test for a small business, with three conditions to understand first: the Business Profile connection only works on a personal Google Account that manages one verified profile, it needs Keep Activity switched on, and Keep Activity means Google can use what you share to improve its models, with some human review.

I read Google's announcement and its help pages for the Business Profile connection, Connected Apps, notebooks and the Gemini Apps Privacy Hub on October 27, 2026. What follows is what those pages say, and how I'd test the hub if I ran a five-person business on Google tools.

What is Gemini's business hub?

It's a dedicated home page for business owners inside the Gemini app. According to Google's announcement, from that page you can build your brand, analyze finances and review customer insights, and the hub comes with new marketing and finance skills and new connected apps (Google, October 2026). Google says tens of millions of small business owners already use Gemini. That's Google's own number, so treat it as a sign of scale rather than a precise count.

Three features stand out in the announcement:

  • On-brand visuals. You upload your website, a brand kit, fonts or a color palette, and Gemini keeps that style across the images it generates. The image model behind it is Google's Nano Banana 2.1.
  • Financial insights. Gemini turns spreadsheets, receipts and purchase records into charts and interactive models.
  • Connected apps. On Google's side: Google Business Profile, Google Ads and Google Workspace. On the third-party side: Adobe, Canva, Dropbox, Shopify, Wix, Zoho and Xero.

The hub builds on what Google shipped in June 2026: a one-tap connection between Gemini and your Google Business Profile, and Business notebooks, a workspace that holds your chats, your profile and your website so Gemini can pick up where you left off (Google, June 2026).

Google says the landing page, the skills and the connected apps are rolling out in the coming days, globally, for all Gemini app users. Larger businesses that need central administration and data governance are pointed at Gemini Enterprise instead.

What does it cost, and who can use it?

The hub itself costs nothing beyond a Gemini account. What you pay decides which model answers you and how much you can use it.

PlanUS priceWhat a business owner gets
Free$0Flash-Lite model, image generation and editing, Deep Research, 15 GB storage
Google AI Plus$4.99 a monthFlash model, 2x the usage of Free, Gemini in Gmail and Vids, 400 GB storage
Google AI Pro$19.99 a monthPro and Flash models, 4x the usage of Free, Gemini in Gmail, Docs and Vids, 5 TB storage
Google AI UltraFrom $99.99 a monthHighest usage limits and model access, 20 TB or more of storage

Prices are US prices from Google's plans page, checked October 27, 2026. AI Pro and Ultra require you to be 18 or older (Google).

The account type matters more than the plan. Google's help page for the Business Profile connection lists the conditions: you must be 18 or older, sign in with a personal Google Account linked to your profile, be the owner or manager of only one verified Business Profile, have Keep Activity turned on, and use the web app at gemini.google.com. Work and school accounts aren't supported for now (Google Business Profile Help).

So if your business email runs on Google Workspace, you can still use the brand and finance features with your personal account, but you can't connect the Business Profile from your work account, and your Workspace administrator controls which connected apps are available there. Google's enterprise product, Gemini Enterprise, starts at $21 per seat a month for its Business edition if you want admin controls (Google).

On regions: when Google launched the Business Profile connection in June, it said the rollout covered the world except the European Economic Area and the UK. The help page today says the feature works wherever the Gemini web app is supported, without listing excluded countries. If you're in Switzerland or the EU, the quickest check is to ask Gemini about your profile and see whether it offers to connect. If it doesn't, that's why.

What can Gemini do with your Business Profile?

Quite a lot, and that's the point of being careful. According to Google's help page, once connected Gemini can:

  • Update your profile: business hours, contact details, action links for ordering, reservations and appointments, attributes and photos. Food businesses can manage their menus.
  • Engage with customers: view star ratings and reviews, draft or delete review replies, and create, schedule, publish or delete Update, Offer and Event posts.
  • Show insights: impressions, website clicks, direction requests, bookings, and the search terms customers use to find you.
  • Run a Business notebook, if you're eligible, with proactive suggestions and suggested prompts.

Two things to keep in mind. Your Business Profile is what people see when they search for you on Google or Maps, so a wrong opening time or a deleted post is public within seconds. And "draft or delete review replies" means the same connection that drafts a polite reply can delete one. I covered why a complete, consistent profile matters for AI visibility in is your business invisible to ChatGPT and Claude?

What happens to your data?

This is the part the announcement doesn't cover, and for a small business it decides whether the finance features are usable. The Business Profile connection, the Business notebook and most connected apps require Keep Activity to be on (Google Business Profile Help, Gemini Apps Help on Connected Apps, Gemini Apps Help on notebooks).

Google's Privacy Hub explains what that means. With Keep Activity on, your chats and what you share with Gemini, including uploads, are saved to your activity, and Google uses that activity to provide, develop and improve its services, including training its generative AI models. A subset of chats is read by human reviewers, including trained service providers. Chats are disconnected from your account before they go to those providers, reviewed chats are kept for up to three years, and deleting your activity doesn't remove them. Activity is auto-deleted after 18 months by default, which you can change to 3 or 36 months or switch off (Google, Gemini Apps Privacy Hub, updated October 23, 2026).

Google's own advice on that page is plain: don't enter confidential information you wouldn't want a reviewer to see or Google to use for improving its services.

Now put that next to the finance feature. "Turn spreadsheets, receipts and purchase records into financial insights" means uploading spreadsheets, receipts and purchase records into exactly the system described above. Nothing about that is hidden, but it isn't on the announcement page either.

Connected apps add a second layer. The Privacy Hub says that when you ask Gemini to act for you, it shares the necessary data with the app on your behalf, and the third party handles that data under its own privacy policy. Disconnecting an app, or deleting data inside it, doesn't delete anything from your Gemini Apps Activity, and the app keeps what Gemini already sent it. So connecting Xero or Shopify is a decision with two privacy policies attached, Google's and the vendor's, and it doesn't fully reverse.

In my view the sensible line for a small business is the one I use for any AI tool: keep out customer personal data, payroll, anything with account numbers, and anything a client gave you in confidence. Redact first if you want a cash-flow chart: replace names with "Client A" and round the figures. I go through the full "never" and "redact first" lists in is ChatGPT private?, and the same lists apply here.

Quick Win
Open gemini.google.com with the Google Account that manages your Business Profile and type "@Google Business Profile, how did my business do last month?" If Gemini offers to connect, you meet the conditions. If it doesn't, you're on a work account, you manage more than one profile, or Keep Activity is off. Thirty seconds, and you know whether the hub is for you yet.

The conditions that trip people up

Five, in the order I'd expect them to bite:

  1. More than one Business Profile. Many owners manage two locations, or their own business plus a friend's. The connection is unavailable to anyone with access to more than one verified profile.
  2. A work or school account. The connection needs a personal Google Account linked to the profile, so a Workspace-only business can't use it yet.
  3. Keep Activity off. If you turned it off for privacy, Gemini can't connect the profile, the notebook or most apps. Turning it back on restores the apps you had connected.
  4. The mobile app. The Business Profile connection is listed for the web app at gemini.google.com only.
  5. Europe. The June launch excluded the EEA and the UK. Check whether that still holds for you before you plan around it.

What should Gemini never do without your approval?

Anything public and anything hard to undo. Google's help page lists both drafting and deleting, posting and unpublishing, so the limits are yours to set.

TaskHand it to Gemini?Why
Summarize last month's profile performanceYesRead-only, and faster than the dashboard
Draft replies to reviewsYes, as draftsYou read every reply before it goes live

Connect Xero, Shopify or an ads accountWaitTwo privacy policies, and the data doesn't come back on disconnect

The same rule works for any AI that can act on your behalf, whether it's Google's, OpenAI's or Anthropic's. Give it one job, check its work for a week, and widen it only then. I used the same approach for Google's always-on agent in my guide to Tasks in Gemini.

Do you need it, or is there a cheaper way?

If you already pay for Google AI Pro, live in Gmail and Docs, and manage one Business Profile from a personal account, the hub is a free upgrade and worth a test this week. In every other case the answer depends on what you're trying to fix.

Two-thirds of US small businesses now use AI, according to the US Chamber of Commerce's 2026 report (US Chamber of Commerce, October 2026). Among the 1,256 owners Goldman Sachs surveyed in its 10,000 Small Businesses program, 76% use AI, only 14% have built it into their core operations, and among those using AI, the hurdles they named included data privacy and security (50%), a lack of technical expertise (49%) and difficulty choosing the right tools (48%) (Goldman Sachs, March 2026). That's one program's members, so the exact numbers won't match your industry, but the three hurdles are the right lens for this hub. It helps with the second and third. It makes the first one your job.

Alternatives worth knowing:

  • Gemini inside Workspace. If your business is on a Google Workspace plan that includes Gemini, it already works in Gmail, Docs and Sheets under your company's admin settings, without the personal-account conditions.
  • ChatGPT Business. $25 per user a month billed monthly, or $20 annually, and OpenAI doesn't use Business workspace chats for training by default (OpenAI Help). It won't edit your Business Profile, but for financial analysis it starts from a stricter data setting. My comparison of ChatGPT, Claude, Gemini and Grok covers the differences.
  • Doing the profile work by hand. If replying to reviews and updating hours is your only use case, you can probably do it in the Business Profile dashboard in under an hour a week, and the risk of a connected agent may not be worth the saving.

A safe 7-day test plan

If you meet the conditions, give the hub one job and watch it for a week:

  1. Day 1: open the business landing page, upload your website or brand kit, and generate three images. Nothing here touches customer data.
  2. Day 2: connect your Google Business Profile and ask for last month's performance summary. Compare it with the Business Profile dashboard.
  3. Days 3 to 4: let Gemini draft replies to your last ten reviews. Read each one, then publish by hand. Note every reply you had to rewrite and why.
  4. Day 5: ask it to list missing profile information and unanswered customer questions. Fix the real gaps yourself.
  5. Day 6: if you want the finance features, build one redacted spreadsheet (round numbers, no names, no account details) and ask for a cash-flow chart. Check the totals in your own spreadsheet.
  6. Day 7: decide. Write down what Gemini is allowed to do, what stays by hand, and who checks its work. Disconnect anything you connected on impulse, knowing that the activity already saved stays in your Gemini Apps Activity until you delete it.

Keep a hard stop. If it publishes something you didn't approve, changes a detail you didn't ask for, or produces a financial figure you can't trace, disconnect the profile in Connected Apps settings and go back to drafts only.

Frequently asked questions

What is the Gemini business hub?

A business landing page inside the Gemini app, announced by Google on October 20, 2026. It brings together brand visuals, financial analysis and customer insights, adds marketing and finance skills, and connects Gemini to Google Business Profile, Google Ads, Google Workspace, Adobe, Canva, Dropbox, Shopify, Wix, Zoho and Xero.

Is the Gemini business hub free?

Yes. Google says it's rolling out to all Gemini app users, including the free plan. Paid plans change which model you get and how much you can use: Google AI Plus is $4.99 a month, Google AI Pro $19.99 and Google AI Ultra from $99.99, all US prices.

Can I use the Gemini business hub with a Google Workspace account?

Partly. The Business Profile connection needs a personal Google Account linked to your profile and isn't available to work or school accounts for now. The brand and finance features are open to all Gemini app users, and in a Workspace account your administrator controls which connected apps you can use.

Is it safe to upload my financial records to Gemini?

Only after you've removed what you wouldn't want read. The business features require Keep Activity, and with Keep Activity on Google can use your uploads to improve its services, including model training, with a subset read by human reviewers and kept for up to three years. Google itself says not to enter confidential information you wouldn't want a reviewer to see.

Does Gemini use my business data to train its models?

With Keep Activity on, yes, Google says it uses your activity to provide, develop and improve its services, including training generative AI models. With Keep Activity off, new chats aren't used for training and are kept for 72 hours, but the Business Profile connection and most connected apps stop working.

Can I connect my Business Profile to Gemini in Switzerland, the EU or the UK?

When the connection launched in June 2026, Google said it was available globally except in the European Economic Area and the UK. Google's help page now says it works wherever the Gemini web app is supported and doesn't list exclusions. Ask Gemini about your profile and see whether it offers to connect.

Should a small business use Gemini or ChatGPT?

Gemini if your business runs on Gmail, Docs and a Google Business Profile, because the hub connects to all three. ChatGPT Business if your priority is financial analysis under a stricter data default, since OpenAI doesn't train on Business workspace chats by default. Both have free plans, so test each on the same task before you pay.

Where to go from here

Run the Quick Win check today. If Gemini offers to connect, start the 7-day plan with brand visuals and review drafts, and keep the raw accounting files out until you've read the Privacy Hub yourself. If it doesn't offer to connect, you've lost 30 seconds and learned that the hub isn't for your account yet.
